People are generally experts at navigating word doc operations and functions. In that case, why should you learn this program? Whether or not you consider yourself proficient in word documents, there are still so many little tips or tricks that you can learn to be more productive and efficient. Regardless of your career, we have marked out some awesome Microsoft tips and tricks that you should be aware of in 2023.

Tip #1 Track only your changes

Are you collaborating with others on a document, but need to keep track only of your changes? Then these Microsoft word hacks are for you.

  • On the word doc, go to the “review” tab and select the “Tracking” drop-down arrow
  • Then go on to click the “Track Changes” arrow and then select “Just Mine

Tip #2 Know your keyboard shortcuts 

E.g. CTRL+ALT+F8 might already be reserved for initiating keyboard programming or 

Ctrl + B might change the selected text to bold. 

You could also Press ALT+F, T to open the Word Options dialog box 

or press Down Arrow to select the Customize Ribbon option. 

Tip #3 Save your favorite formatting 

If you have a weekly report you create and want to follow the same formatting throughout, you can use this. You can save all of your formatting preferences in Microsoft Word's Quick Styles so that they're ready to use the next time you create a document. Consider the heading of a weekly report as an example. Each week, you can re-format that title so that it’s bolded, centered, and of size 18 font. Is there a better way to do this? Post formatting, you can highlight that text and then click the “Styles Pane” menu in the Home ribbon. Following this, choose the button for a “New Style,” and name it accordingly, and then save it for future use. 

Then you can simply highlight necessary text and apply those formatting rules with just a click of the button.

Tip #4 Insert random texts for placeholders  

Creating a document without any text can be a hassle. That’s why the next tip is what you need. You just need to type a line and the word will insert a random text for you. This acts as an excellent placeholder till you get the text you need. 

Now, how to do this? 

Method #1- Random text method, with P as the number of paragraphs and S as the number of sentences. Formula you can use is 

=RAND(P, S) 

i,e If you use =RAND(2,3) it gives you two paragraphs with three sentences each.

Method 2: For lorem ipsum (common placeholder text), you can use the below command. 


i.e for example 

Like RAND, you can use numbers for the paragraphs (P) and sentences (S) that you want to insert. And the content will be like

Tip #5 Make use of find and replace 

This is a very handy function, especially if a particular word is spelt wrong in the document. Now, scanning through the entire document to fix the error wherever it has occurred is just time consuming. How would you fix the error immediately? You can use the “find and replace” function on MS Word. Instead of using the mouse, click on Ctrl +F, the navigation pane opens up to the side. 


Then, choose the “replace” option from the drop down arrow menu, at the search bar section. And a find and replace dialog box opens up.


Then, you could choose to replace one word or replace all words wherever the phrase or word is repeated within the document.  

Here, in this screenshot given above, you can see that the word “vedeo” , which is spelt wrong has been replaced with the correct word “video” twice within the document. The word was spelt wrong twice and hence, it shows that 2 replacements were made.
